To effectively manage and coordinate the hotel’s reservation activities, ensuring accurate room allocation, appropriate rate application, and optimal occupancy while maintaining up-to-date reservation records and supporting effective communication between the Reservations, Front Office, and Sales teams.
• Participate in all relevant training programmes and apply the knowledge and standards acquired in daily operations.
• Keep the Front Office Manager and relevant management informed of any unusual matters, operational issues, or plans that may impact the department.
• Develop, maintain, and regularly update customer and business contact records to support effective guest and client relations.
• Monitor room allocations to ensure accuracy, optimise availability, and prevent overbooking.
• Ensure that appropriate and approved room rates are quoted to guests in line with established pricing guidelines.
• Proactively maximise room occupancy through effective reservation management and utilisation of available inventory.
• Prepare and regularly update the occupancy list, ensuring that copies are distributed to the Porter, Receptionist, and Telephonist as required.
• Prepare and circulate daily occupancy and business forecasts to all relevant departments and stakeholders.
• Organise, maintain, and ensure the accuracy of all reservation-related documentation and records.
• Establish and maintain an efficient filing system to facilitate the easy retrieval of reservation and guest information.
• Maintain close communication with the Sales Department, providing relevant updates and information regarding reservations, occupancy, business opportunities, and guest requirements.
• Diploma or Degree in Hospitality Management, Tourism, Business Administration, or a related field.
• Good knowledge of hotel reservations, room inventory management, and reservation systems, with strong communication skills in English and French.
• Minimum 2-3 years of experience in a Reservations or Front Office role, preferably within a hotel or resort environment.
• Previous experience in room allocation, rate management, occupancy optimisation, and guest/customer relationship management will be an advantage.
